Here’s How a Staffing Assessment Can Help Your Organization

As your organization may be heading into budget season, do you know if you are staffed appropriately? If not, how many more positions do you need, and what are the positions? If not, what do you do if additional staff are not in your budget? 

A staffing assessment may prove useful in this case. A staffing assessment measures the current use and efficiency of your organization’s teams with recommendations on how to improve current staffing makeup to support the organization’s mission.

A staffing assessment can help plan for staffing needs for 2025. The first step is a job analysis, which is the process of gathering, recording, and analyzing all relevant information about jobs. Once a job analysis has been completed, it is important to analyze the perceptions and facts surrounding each position, including, but not limited to, the following:

  • Workflow and Distribution: This is how assignments are received. Is work distributed as fairly as possible, encouraging employee involvement and the feeling of job ownership?

  • Efficiency Opportunities: Are there things each employee may be able to do to enhance their daily/weekly work efficiency? Are there cost savings for the organization?

  • Time Wasters: Is there anything in employees’ daily/weekly duties that may be considered time wasters?

  • Department Organizational Structure: Is it appropriate for the work needed? It is important to understand how and why responsibilities are performed the way they are.

  • Physical Location of Each Position: Are people and positions located optimally to get the work done in the most efficient manner?

  • Skill Set: Does each employee possess the requisite knowledge, skills, and experience to perform the work they are required to do?

  • Equipment Needs: Based upon duties and responsibilities, are any necessities lacking?

  • Training: Is there a need for employee training in any work area to enhance the employee’s ability to perform at the highest level possible? Does the organization have a role to play in this area?

After analyzing the facts and perceptions, you will have a good understanding of what your staffing needs are and if you need more people or if you can utilize the staff you currently have more effectively and efficiently.
