HR Recordkeeping: Spring Cleaning Tips

After a long, cold winter, maybe things have piled up in your office and other locations around the organization. Piles of human resources records in any form (paper, digital, etc.) pose a variety of risks, such as identity theft and non-compliance, and need to be managed carefully.  

The arrival of spring is the ideal time to tackle clean-up duties. Here are some tips to help you get things on track before the warm weather and sunnier days tempt you to ignore those piles. 

Inventory Your HR Records 

  • Who has what and where? HR records can be lurking in various places besides HR; off-site storage, closets, file cabinets, the desks of front-line supervisors, etc. 

  • Track down all your records and evaluate if they are being handled properly and what to do with those that are not. 

Evaluate What to Keep and What to Toss 

  • Purge documents that are past retention date and/or have no real business value. 

  • Use Employers Council’s Federal Record Retention Guide, updated in December 2022, to help identify what to keep and for how long. 

Destroy Records Containing Private Data 

  • Shred paper documents 

  • Delete electronic files (ask your IT team for help to ensure they are completely deleted) 

Evaluate Your Recordkeeping Practices and Procedures 

  • Have your organization’s practices fallen into bad habits over the winter? If so, it might be time for a refresher on good recordkeeping hygiene and training for everyone who handles HR records. 

Update Your HR Recordkeeping Policy 

  • Although not required, an HR best practice is to draft a policy outlining your recordkeeping practices; our checklist will help.

Identify Gaps Where You Need Help
