Are You Prepared for a Timekeeping or Payroll System Hack?

The well-publicized Kronos timekeeping system hack is still reverberating. Large employers across the United States, including Marriott, Frito-Lay, and New Tiger LLC, have been impacted. While these employers may file suits against Kronos for liability because the hack compromised the ability of the timekeeping system to record overtime hours worked and shorted employees’ pay, employees have the right to sue employers directly 

What software do you rely on to keep time, maintain personnel records, and pay employees? What kind of agreements do you have with those software providers, so that if there is a hack, responsibilities are clear? What kind of support do they offer? Those are all questions to be answered when the agreement is signed, rather than when a hack occurs. 

Other human resources processes can also be helpful, including the following: 

  • Spot-checking information and records for accuracy. A random check of time, pay, and other records may alert the employer to a hack sooner. 

  • Making certain employees have confidence that their pay and benefits are accurate. If employees believe the employer cares about their well-being in the workplace, especially regarding their total compensation, they are less likely to file a lawsuit and more likely to work with the employer toward a resolution. 

  • Performing an annual audit on all HR records. It is critical that HR records are accurate. Because we live in a world where records can be changed without our knowledge, an annual audit is even more critical. It also clears up any mistakes that may have been made during the prior 12 months.
